Can AI answer calls for a med spa? - RevenueFlow AI

AI Receptionist for Med Spas: What It Can (and Can't) Do

October 18, 2026•11 min read

By Haik Khachatryan, Founder of Revenue Flow AI · Orlando, FL · Updated October 21, 2026

The short answer

Yes, AI can answer calls for a med spa. It can answer approved treatment and pricing questions, book consultations 24/7, run intake, send reminders and follow up with people who asked but didn't book. It must not give medical advice, judge candidacy or discuss a client's records. Those go to your licensed team. If it handles patient information your vendor should sign a HIPAA Business Associate Agreement.

Med spas by the numbers

The number of med spas in the US grew by about 18% in a single year (our math from AmSpa's counts below). More spas means more choices for a caller who doesn't get an answer.

  • 10,488 med spas operated in the US in 2023, up from 8,899 in 2022 (American Med Spa Association, 2024 Medical Spa State of the Industry Report).
  • The average med spa brought in $1,398,833 in revenue (AmSpa, 2024 report).
  • The average location sees 245 patient visits a month, and the average patient spends $527 per visit (AmSpa, 2024 report).
  • 73% of patients are repeat patients (AmSpa, 2024 report).

That last number is the one that matters for the phone. A med spa earns its money from the client who comes back every few months for years. Miss the first call and you lose every visit that would have followed it.

Callers don't wait for a callback. In CallRail's 2025 consumer survey, 78% of people said they had taken their business elsewhere after failing to reach a company by phone. A 411 Locals study found 62% of calls to small businesses go unanswered (2016).

Why med spas lose bookings on the phone

Your front desk is checking clients in, running the POS, answering DMs and taking payments at the same time. Evening and weekend browsers call when you're closed. Zenoti's 2025 survey data found 71% of salon and spa regulars have skipped booking because it was too hard to reach someone or use the online system (source 1). For a med spa, each skipped booking can be a consultation worth hundreds, and a client lifetime worth much more.

What Ava does for a med spa

Ava is the AI receptionist at the center of Revenue Flow AI. Here is what she does for a med spa, from the first ring to the rebooking text.

  1. Your line forwards to Ava when the front desk can't pick up: during treatments, at check-out, at lunch and after close. Clients keep calling the number they already have.
  2. She answers in about 8 seconds, 24/7, introduces herself as the spa's virtual assistant and answers from the treatment menu, prices and policies you approve.
  3. She books the consult or treatment by provider and room, and explains your deposit and cancellation policy in your words.
  4. She hands clinical questions to your licensed team. Candidacy, medications, pregnancy and reactions are never answered by Ava. Anything that sounds urgent gets 911 instructions first.
  5. She texts back every missed call within 60 seconds and follows up for 14 days by text and email with anyone who asked about a treatment but didn't book.
  6. You get a monthly report: calls answered, consults booked and leads still open.

What an AI receptionist handles well

TaskHow it works
Treatment questionsAnswers from your approved script: what the treatment is, how long it takes, typical downtime, starting prices
Consultation bookingBooks by provider and room against real availability, 24/7
New-client intakeCollects name, contact, treatment interest and how they heard about you before the visit
Reminders and reschedulingText reminders and easy rescheduling to protect your calendar
Rebooking and reactivationReaches out to clients due for their next treatment (with consent)
ReviewsSends review requests after visits, to every client, no gating, no incentives

The lines it must not cross

  • No medical advice. The AI should never say whether someone is a candidate, what dose they need, or whether a reaction is normal.
  • No discussing records. It should not confirm or discuss anyone's treatment history on the phone.
  • Urgent symptoms go to a human immediately, with clear instructions to call 911 for emergencies.
  • HIPAA: if your practice is a covered entity and the AI handles protected health information, the vendor must sign a Business Associate Agreement (source 2). We offer a HIPAA-ready setup for medical practices.

A simple med spa call flow

  1. "Thanks for calling [Spa], this is Ava, the AI assistant. How can I help?"
  2. Identify the reason: new treatment, existing appointment, pricing, membership, concern.
  3. Answer approved questions; for anything clinical, offer a provider callback or consultation.
  4. Book the consultation with the right provider and room.
  5. Collect intake details and send confirmation plus pre-visit instructions.
  6. Log a summary to the client record for your team.

Sample call: a laser package question at 8:40 p.m.

Example script (shortened). Words in brackets are your own prices and policies. Ava only quotes what you approve.

Ava: Thanks for calling [Spa name]. This is Ava, the spa's virtual assistant. How can I help?

Caller: Hi, I'm looking at laser hair removal. Do you do packages?

Ava: We do. Lower legs are [your package price] for [number] sessions. Is that the area you had in mind?

Caller: Yes. I just got back from the beach, though. Can I still do it with a tan?

Ava: That depends on your skin and the laser, so it's a question for our provider. I'll add it to your notes so she covers it at your consult. I have Thursday at 5:30 or Saturday at 11. Which works better?

Caller: Saturday.

Ava: You're booked Saturday at 11 with [provider]. We hold the time with a [deposit amount] deposit that goes toward your package, and you can reschedule up to [notice period] ahead. I'm texting you the link now.

Caller: Perfect, thanks.

Setup checklist for med spas

  • Treatment menu with durations, starting prices and approved descriptions
  • Provider schedules and room capacity
  • Deposit and cancellation policy wording
  • Escalation rules: clinical questions, complaints, VIP clients
  • Membership and package FAQs
  • Review request timing (for example 24 hours after the visit)
  • BAA in place if your practice requires it

Proof, labeled honestly

We don't have a published med spa case study yet, so we won't show you an invented one. Our closest real result is a busy medical clinic phone line:

FIMM Health Clinic, Kissimmee, FL (a medical clinic, not a med spa). Ava answers 30 to 50 patient calls a day and booked 152 calls in the first 30 days.

“Patients get answers faster and our schedule stays full.” Sumeet Bhavsar, FIMM Health Clinic

We show it because a med spa front desk has the same problem: the phone rings while every person on staff is with a client.

What missed calls cost a med spa

Example numbers, except the $527 average visit and the 73% repeat rate, which are 2024 AmSpa national figures. Plug in your own.

  • Your spa misses 7 new-client calls a week while providers are in treatment rooms or after close. That's about 30 a month.
  • 1 in 3 of those callers would have booked: about 10 new clients a month.
  • At $527 per visit (AmSpa, 2024), that's about $5,300 a month in first visits alone.
  • With 73% of med spa patients coming back (AmSpa, 2024), most of those clients would have booked again.

At $497 a month, Ava pays for herself if she books about one new client a month.

More than an AI receptionist

Answering the phone is step one. Revenue Flow AI builds the rest of the med spa front office around it:

  • Text reminders before every appointment to cut no-shows and late cancellations.
  • Rebooking reminders at the intervals your providers set, so regulars come back on schedule.
  • Membership and package questions answered the way you describe them.
  • Review requests after every visit, sent to every client the same way. No gating, no incentives.
  • Past-client reactivation for people who haven't booked in a while (database reactivation add-on, included on Growth).
  • A Spanish-speaking agent (add-on) on the same number.
  • One inbox for calls, texts, web forms and social messages.
  • A monthly report on calls, consults and open leads.

Why reviews belong in the system

BrightLocal's 2026 survey found 97% of consumers read reviews for local businesses (source 3). Automatic review requests after every visit build a steady stream of fresh Google reviews, which also help you show up in Google Maps. Ask every client the same way. Selectively asking only happy clients (review gating) breaks Google's policies.

Common med spa caller questions an AI can answer (from your approved script)

  • "How much is Botox / filler / a facial?": starting prices or ranges, plus "your provider confirms exact pricing at the consultation."
  • "How long does it take, and is there downtime?": typical durations and general downtime.
  • "Do you have anything this week?": real availability by provider.
  • "Do you offer memberships or packages?": what's included and how to join.
  • "Where are you and is there parking?": address, parking, directions by text.
  • "Can I reschedule?": within your cancellation policy.

Questions to ask a vendor before you buy

  • Will you sign a Business Associate Agreement if we need one?
  • Can it book by provider and room, with deposits?
  • Can we approve every treatment description and price it says?
  • How are clinical questions and complaints routed to staff?
  • Can we listen to calls and read transcripts?
  • Does it support Spanish-speaking callers?

In Orlando, Tampa and across Florida, bilingual coverage and evening availability matter: many clients call after work, and many prefer Spanish.
