How Much Does an AI Receptionist Cost? (2026 Pricing Guide)
By Haik Khachatryan, Founder of Revenue Flow AI · Orlando, FL · Updated October 18, 2026
The short answer
In 2026 a self-serve AI receptionist app typically costs about $25–$100 a month plus per-minute overages, live-agent answering services run roughly $250–$450 a month, and done-for-you AI systems that answer, book and follow up cost about $500–$2,000 a month. Revenue Flow AI plans start at $497/month plus a one-time build fee, and billing only starts once your AI is answering real calls.
Why AI receptionist prices look all over the place
If you've searched this, you've seen prices from $20 to $2,000 a month for things all called "AI receptionist." They aren't the same product. Industry pricing guides split the market into roughly three tiers: automated voice AI apps, live-agent-backed answering services, and full done-for-you systems (sources 1–3). The difference is how much of the work happens after the phone is answered — and who does the setup.
| Type | Typical 2026 price | What you get | Who sets it up |
|---|---|---|---|
| Self-serve AI answering app | ~$25–$100/month + per-minute overage (often $0.35–$0.60/min) | Answers FAQs, takes messages, sometimes basic booking | You |
| Live-agent answering service | ~$250–$450/month | A human answers, mostly takes messages | Provider, from your script |
| Done-for-you AI system (Revenue Flow AI) | $497–$1,997/month + one-time build | AI answers, qualifies, books, texts back missed calls, follows up, reports | Built and maintained for you |
Revenue Flow AI pricing, line by line
| Plan | Monthly | One-time build | Included |
|---|---|---|---|
| Starter | $497 | $1,000 | Single location, one phone line: 24/7 AI answering, missed-call text-back, calendar booking, monthly report, 300 voice minutes then $0.55/min |
| Growth | $997 | $2,000 | Everything in Starter + 14-day follow-up sequences, CRM sync, call recordings, live-transfer rules, 1,000 minutes then $0.45/min |
| Agency | $1,997 | $3,000 | Multi-location and franchise groups: custom integrations, dedicated success manager, 2,500 minutes then $0.35/min |
The AI receptionist is usually live in about 14 days. Your monthly plan doesn't start until the AI is answering real calls. Larger automation projects can take longer and roll out in stages.

The hidden costs to check before you buy
- Per-minute overages. Cheap plans often include few minutes. Pricing guides warn that a low monthly fee can become much more expensive once extra calls are billed (source 3). Ask what a busy month costs.
- Setup time. A $30 app that takes you a weekend to configure, test and fix isn't $30.
- Booking and calendar integration. Some tools answer but can't book into your calendar — so every call still becomes a callback.
- Follow-up. If a caller doesn't book on the first call, does anything happen next? Missed-call text-back and follow-up sequences are often add-ons.
- Number porting or forwarding. Make sure you can keep your existing number (we forward it, or give you a new AI number that escalates to your line).
AI receptionist vs hiring a human receptionist
The U.S. Bureau of Labor Statistics puts median pay for receptionists at $38,010 a year (source 4) — before payroll taxes, benefits, training, sick days and turnover. And one person covers one line, during business hours. An AI receptionist answers every call at once, nights and weekends included. That's why most owners don't treat it as either/or: a person handles in-office work, and AI handles overflow, after-hours and the calls nobody can get to.
How to work out what it's worth to you
- Pull your call log for one week and count missed or voicemail calls (include evenings and weekends).
- Estimate how many were new customers.
- Multiply by your average job or treatment value.
Example: 10 missed calls a week, 3 of them new customers, $400 average job = $1,200 a week walking away. A CallRail survey of 1,000 U.S. consumers found 78% have taken their business elsewhere after failing to reach a company by phone (source 5). Recovering even one or two jobs a month covers a Starter plan. The ROI calculator on our homepage does this math for you.
When a cheaper option is the better choice
We'd rather tell you now: if you get only a handful of calls a month, already answer nearly every call live, or just need messages taken, a self-serve app may be enough. A done-for-you system pays off when missed calls and slow follow-up are costing you real jobs and you don't have time to build and babysit the setup yourself.
10 questions to ask any AI receptionist provider before you sign
- How many minutes or calls are included, and what does each extra minute cost?
- Is there a setup or build fee, and what exactly does it cover?
- Can it book directly into my calendar, or does it only take messages?
- What happens when a caller hangs up — is there missed-call text-back?
- Does it follow up with leads who didn't book? For how long?
- Can I keep my existing phone number?
- How do callers reach a real person when they need one?
- Who writes and updates the scripts — me or you?
- What reporting do I get: calls answered, bookings, recordings, summaries?
- What's the contract length and cancellation policy?
A cheap quote that answers "no" to booking, text-back and follow-up isn't comparable to a system that does all three. Compare what you get per booked appointment, not per month.
What drives the price up (and when it's worth paying for)
- Call volume: more minutes cost more on every plan. Busy shops should look at the included minutes first.
- Multiple locations or lines: each location needs its own routing, calendar and rules.
- Integrations: connecting practice-management, field-service or real-estate software takes extra build time.
- Compliance: medical practices may need a HIPAA-ready setup and a Business Associate Agreement.
- Bilingual coverage: a Spanish-speaking agent on the same number is an add-on — worth it in markets like Orlando and Tampa where many callers prefer Spanish.
Frequently asked questions
Are there hidden fees?
The build fee is one-time; usage above your plan's included minutes is billed per minute at the rates shown above. Nothing else.
When does billing start?
The build fee at signup; the monthly plan on go-live day, when the AI is answering real calls.
Can I start small?
Yes. Most single-location businesses start on Starter and move up when volume grows.
Do I have to change my phone number?
No. Keep your number and forward it to the AI, or use a new AI number that escalates urgent calls to your line.
